Data Retention & Deletion

This page summarizes what SellerAide (operated by Pikewood LLC) keeps, for how long, and how it is deleted. It complements our Privacy Policy and Security page. Our principles: collect only what we need, keep it only as long as needed, "disconnect = delete," and honor legally required retention.
Retention by data type
Account data (email, hashed password, profile, subscription tier)
- Retention: Life of the account.
- Deletion: Within 30 days of account deletion.
Generated listings & AI content (listings, drafts, batches, generation history)
- Retention: Life of the account.
- Deletion: Within 30 days of account deletion.
Conversation / interaction history (the session record behind a generated listing)
- Retention: A session that produced a listing is kept for as long as that listing is — the listing is attached to it, and your listings are retained for the life of the account. Abandoned sessions that never produced a listing are kept up to 12 months from last activity.
- Deletion: Abandoned sessions are pruned automatically on a daily schedule once past 12 months. Sessions backing a listing are deleted with that listing, and everything is removed within 30 days of account deletion.
Brand records & assets, listing images
- Retention: Life of the account.
- Deletion: Within 30 days of account deletion.
Uploaded financial documents (receipts, invoices, bills) and their extracted fields
- Retention: Life of the account, as your business records.
- Deletion: Within 30 days of account deletion.
Accounting & inventory records (order financials, expenses, COGS, ledger, inventory cost layers, valuation, write-offs, imported shipping costs)
- Retention: Life of the account; financial/tax records up to 7 years where legally required.
- Deletion: Within 30 days of account deletion, except records under a legal retention hold.
Marketplace OAuth tokens (Amazon SP-API, eBay, Etsy)
- Retention: Until you disconnect, the marketplace revokes, or the marketplace requests deletion.
- Deletion: Within 30 days of disconnect / revocation / request.
QuickBooks Online OAuth tokens (Intuit)
- Retention: Until you disconnect or revoke access.
- Deletion: On disconnect we revoke the tokens at Intuit; stored credentials and the company link are deleted within 30 days.
Cached marketplace data (Amazon catalog, listings, listing issues, A+ Content, fee/order-financial summaries; eBay/Etsy data)
- Retention: Short rolling caches, refreshed on demand.
- Deletion: Within 30 days of disconnect.
Product market data (price, sales-rank, offer, and stock-level history for products researched via Sourcing Scout / Price Ceiling Analysis, sourced from Keepa)
- Retention: Retained as shared, product-keyed reference data to power product-research features. Contains no personal data and is not linked to any account. (Which products you looked up is recorded against your account as a usage event for plan limits, retained up to 24 months.)
- Deletion: Not tied to account deletion — there is nothing user-identifying to delete. Superseded or refreshed as newer market data arrives.
Payment records
- Retention: 7 years (tax/accounting). Card data is held by Stripe, never by us.
- Deletion: Retained per legal requirement even after account deletion.
Marketplace access audit trail (which API calls we made to your connected marketplace accounts, and when)
- Retention: Life of the account — exceeding our 12-month minimum commitment. Records the marketplace, operation, endpoint, response status, and whether a person or scheduled job initiated it; never request/response bodies, tokens, or buyer data. Currently covers Amazon and Etsy; eBay coverage is in progress.
- Deletion: Deleted with your account.
Runtime application logs
- Retention: Short operational window set by our hosting provider — these are not a long-term record.
- Deletion: Expire automatically on the provider's rotation.
Error reports (Sentry)
- Retention: Per Sentry's default window (typically ~90 days).
- Deletion: Expire automatically.
Backups
- Retention: Provider rotation window (days to weeks).
- Deletion: Expire on rotation; restored only for disaster recovery.
Deletion triggers
Account deletion
You can delete your account from the app or by emailing support@selleraide.com. We acknowledge within 5 business days and purge your customer data — including accounting and inventory records, uploaded documents, and stored files — within 30 days. Records under a legal retention requirement (e.g. payment/tax records) are kept as required. Backups expire on rotation.
Marketplace & integration disconnect (within 30 days)
Disconnecting a marketplace — or the marketplace revoking authorization, or Amazon requesting deletion under the SP-API Data Protection Policy — deletes the OAuth tokens and all cached data for that connection within 30 days. For Amazon-requested deletions we acknowledge and confirm completion to Amazon. Disconnecting QuickBooks Online revokes your tokens at Intuit and deletes your stored credentials and company link within 30 days.
Data-subject requests (CCPA / GDPR)
You may request access to, export of, or deletion of your personal data; we verify identity via the email on file and respond within the legally required period (30 days under CCPA, one month under GDPR, extendable with notice).
Buyer data note
We do not retrieve buyer personal data from any marketplace API. The only buyer-identifying fields we hold are the recipient name/address you choose to upload in your own shipping-carrier CSV to match postage to your orders; these are deleted with your account and are never sent to an AI provider or aggregated.
